Sta*Ware BusinessNavigator 3.0: <\/span> Automated creation, reception and processing of e-invoices<\/span><\/h3>\n

The new version 3.0 of the office and project management software (BMSP) BusinessNavigator E&P<\/abbr> from Sta*Ware in Starnberg now allows automated creation, reception, and processing of e-invoices in the XInvoice format. The software thus complies with all legal requirements effective from 2025 and streamlines invoicing processes.<\/em><\/span><\/p>\n

At the beginning of 2025, the exchange of invoices between domestic companies must be issued, transmitted, and received in a structured digital data format. The data format must comply with the European standard EN 16931 for electronic invoicing, enabling machine-readable and media-break-free invoice posting, checking, and approval. PDF invoices will no longer be permitted for services provided from 2025 (with a transitional period until the end of 2027). The new version 3.0 of the BMSP software Sta*Ware BusinessNavigator E&P<\/abbr> fully meets the e-invoicing requirements. Planners can now legally receive and create e-invoices in the currently most important e-invoice format, XInvoice. The basis of the XInvoice is the XML standard format UBL (Universal Business Language), which Sta*Ware BusinessNavigator E&P<\/abbr> can import and export in versions 2.1, 2.3.1, and 3.0.1. In addition, invoices in the so-called ZUGFeRD<\/a> hybrid format CII (Cross Industry Invoice), which contains both machine-readable XML and human-readable PDF data, can also be imported.<\/span><\/p>\n

Automated invoicing processes streamline workflows<\/strong><\/span><\/p>\n

The new invoice formats are fully integrated into the automated invoice workflow of StaWare BusinessNavigator E&P<\/abbr>: outgoing invoices are created as before and, after internal review and approval, converted by the program into an XML file containing the XInvoice data as well as optionally embedded PDF files and other digital attachments. The XInvoice can then be sent manually or automatically by email. Alternatively, transmission to customer web services is also possible. Incoming invoices are read in XInvoice format and processed either via menu or automatically. The imported invoice data is displayed clearly in a self-explanatory mask with all fields extracted from the XInvoice. Upon data import, the integrated incoming invoice workflow of StaWare BusinessNavigator E&P<\/abbr> is automatically started. The extracted information is formally and substantively checked and prepared for invoice approval, with ordered quantities and prices reconciled if necessary. Using a pre-configuration in customer master data, all these steps can also be fully automated, further streamlining invoice processes. Supported invoice types include (partial) invoice, progress invoice, (partial) final invoice, and credit notes. Incoming invoices in the hybrid XML and PDF format can still be analyzed and processed via OCR text recognition. The XInvoice files are stored, managed, and archived in the document management system of StaWare BusinessNavigator DMS<\/abbr>. The revision-proof storage and archiving comply with the “Principles for properly maintaining and storing books, records, and documents in electronic form as well as for data access” (GoBD).
